Background

The Gold Coast Bulletin were hosting their annual Gold Coast Women of the Year Campaign, now in its third consecutive year. This campaign aims to celebrate and recognise the inspirational, influential, and innovative women of the Gold Coast.

 

In 2020, like most events, the Gold Coast Women of the Year awards faced unprecedented challenges in the wake of COVID-19. In 2021, The Gold Coast Bulletin Team wanted the campaign to return stronger than ever and looked for an agency who could assist in coordination of the editorial campaign, management of the judging process and delivery of the Awards Gala live event.

 

The Brief

The vision for the 2021 Gold Coast Women of the Year campaign was to continue celebration and recognition of the amazing women of the Gold Coast through an editorial campaign (both print and digital) and a live event to announce the winners in the awards categories. It was important to the GCB Team that the agency that came on board could play an internal management role as well as creating an exciting and meaningful live event.

 

They wanted an agency who could coordinate each of the Teams and tasks required to deliver the campaign, to ensure deadlines were met and the campaign ran as intended. This included stakeholder liaison, project management, communications and internal and external administration related to the campaign and live event.

 

The Solution

We Are Phoenix became an extension of the Gold Coast Bulletin team, embedding ourselves into the organisation to drive the campaign and ensure seamless delivery of the awards. We created a detailed roadmap which outlined all the activities in the campaign and held regular work-in-progress meetings with key stakeholders within News Corp to ensure objectives and deadlines were met.

 

We Are Phoenix developed and executed a detailed project plan to ensure the success of the Gold Coast Women of the Year Awards, this included:

 

  • Budget management and financial reporting
  • Set up and management of the online registration portal
  • Management of the social media and EDM marketing campaigns
  • Press and media management
  • Coordination of the Awards Judging Process including collating all nominations, managing queries from the online nominations page, set up of the judging form, communication with judges, collating finalist information and communication with finalists.
  • VIP invitation/ RSVP management and all pre-event communications.
  • Creation of event and campaign collateral including sponsor briefs, MC brief, finalist briefs and attendee pre and post event communications.
  • Venue management including contract negotiation, F&B management, AV and Production coordination and on-site management
  • Management of event suppliers including styling, printing, and activations.
  • Sponsor management to ensure the delivery of campaign packages.
  • Regular email marketing to registered attendees to maximise pre-event engagement.
  • Management of videographers and photographers.
  • Regular WIP meetings with all relevant parties.
  • Multiple speaker briefings and technical rehearsals.
  • Management of pre-recorded content.
  • Collecting, collating, and managing all Event Assets including multiple videos and digital slides for the event.
  • Risk analysis on all potential issues.
  • Creation of detailed event run-sheets for all involved parties.
  • Table and seating plan creation and management in line with Government COVID-19 guidelines.
  • On-the-day management by a dedicated team inc: staff management, catering, AV/ production, presenter management, audience registration, MC management and client liaison.
  • Post campaign reporting.

 

The Results

The Gold Coast Women of the Year campaign was a huge success and met its objectives of celebrating and recognising the inspiring, influential, and innovative women on the Gold Coast, while generating revenue and contributing to overall brand position of the Gold Coast Bulletin. With more than 200 nominations across the seven different categories, the campaign shone a light on so many amazing leaders in the Gold Coast Community.

 

Key outcomes from the project include:

  • 200+ nominations
  • 3,700 votes for the People’s Choice Award
  • Drove more than 16,000 page views for editorial content
  • Organic social integration generated over 160,000 impressions
  • Partnerships with Hot Tomato and Channel Seven enabled mainstream media promotion of the event.
  • 250+ attendees at the live gala event inc. VIPs from Government and Industry

 

The News Corp/ Gold Coast Bulletin team were thrilled with the results from the project and their engagement with We Are Phoenix. As a business founded & run by women, the We Are Phoenix team understand the importance of recognising the hard work of female leaders and we were incredibly proud to bring this campaign to life.

 

We Are Phoenix also decided to become a Bronze Sponsor for the event, taking the Entrepreneur category in support of other women in business on the Gold Coast.
