Bright & Duggan, Virtual Employee Awards & End of Year Christmas Event 2020

Background

The Bright & Duggan Property Group is a National strata management business based on the family values of respect, dignity, and courtesy. With staff all over Australia, Bright & Duggan usually hold state events throughout the year as well as a large end of year Christmas Party.

 

Unfortunately, due to the COVID-19 pandemic, the team were unable to hold state events in 2020 and as such decided to combine their annual awards ceremony with their Christmas party – and do it all virtually! While the Bright & Duggan team had held smaller team events on Zoom, they needed further expertise to increase the experience for staff and to ensure all technical elements were looked after at this large virtual event.

 

The Brief 

Bright & Duggan engaged Phoenix as event managers for their virtual awards ceremony & Christmas celebration. They wanted experienced, technical experts to manage all aspects of the virtual event, from sourcing an MC, managing the virtual platform, working with sponsors on pre-recorded content, creating briefs, sourcing entertainment, and on-the-day logistical support.

 

They wanted a professional, engaging, and interactive experience to celebrate the year, and to present some very special awards…

 

The Solution

Working collaboratively with the Bright & Duggan team, Phoenix developed and executed a creative virtual event plan to ensure maximum staff engagement and enjoyment. We were responsible for:

  • All logistics and planning of the virtual event including developing technical run sheets, speaker, and sponsor briefings, platform management, and staff and attendee communications.
  • Management of all technical aspects of the live event include managing each of the virtual presentations, answering technical questions pre and during the sessions, and technical run throughs with relevant staff and presenters.
  • Moderation of the virtual chat, with attendees and presenters, to ensure maximum engagement on the day.
  • Virtual platform management – Phoenix worked closely with Bright & Duggan to ensure the virtual platform was best suited to their requirements and budget.
  • Risk analysis
  • Pre-event communications including audience and speaker FAQ docs, briefs and email queries.
  • Registration management – set up and management of the online registration platform with regular updates on attendee numbers.
  • Production of event collateral including creative holding slides.
  • Talent acquisition and management.

 

The Results

  • 250 attendees (at home and in offices around Australia)
  • 30 virtual awards
  • 9 sponsors
  • Live music with an interactive game
  • A surprise visit from virtual Santa!

Phoenix loved working on this end of year event for Bright & Duggan staff. With 30 virtual awards to get through in just 1.5hrs, it was imperative that staff remained engaged and involved in the event. By securing a professional MC and creating an interactive virtual experience to break up the awards – a live game with professional musicians – Phoenix were able to create a unique and exciting experience for Bright & Duggan staff. There was even a special visit from Santa to finish the event!

 

The Client had a fantastic response from the attendees and sponsors involved. This virtual event was the perfect way to end a tough year for Bright & Duggan staff who could not be together in person.
