GHD Brand Relaunch, VIRTUAL EVENT 2020

Project Description

Background

GHD is one of the world’s leading professional services companies operating in the global markets of water, energy and resources, environment, property and buildings, and transportation.  GHD provides engineering, architecture, environmental and construction services to private and public sector clients.

 

GHD  had a requirement to hold 3 x virtual brand relaunch sessions for their global internal team.

 

 

The Brief

The GHD Team engaged Phoenix to manage all the virtual event logistics, speaker communications and rehearsals, technical/ AV requirements, virtual platform management and on-the-day production for three events – in the Americas, EMEA & Asia Pacific.

 

The initial brief was to use the Zoom Webinar platform to break out of the ‘norm’ of all meetings being held on Microsoft Teams within GHD & provide a different dynamic for the brand launch.  This changed during the course of the project to Microsoft Teams Live to better accommodate the internal audience of 5,000 who are familiar with Microsoft Teams.

 

The Solution

The Phoenix team developed and executed a detailed plan to ensure the success of the three GHD Brand Relaunch Events. This included:

  • Management of the Virtual Event Platform – Microsoft Teams Live.
  • Developing technical run sheets for 3 x events.
  • Hosting multiple group speaker briefings/ technical rehearsals.
  • Conducting rehearsals and events in event location timezone (the middle of the night for our Australian based team).
  • Collecting, collating, and managing all Presentation Assets including multiple videos and presentation slides.
  • Regular WIP meetings with the GHD
  • Recording each virtual presentation for post-event use.
  • Development of Audience Technical FAQ documents.
  • Risk analysis on all potential issues.
  • On-the-day logistical support and management of each of the events by a dedicated Producer & stage manager.

 

 

The Results

3 events, 3 time zones, 40+ speakers and over 5,000 virtual attendees.

 

Phoenix was thrilled to work with the GHD team on this inspiring, dynamic and high profile virtual event. The content was king at this event with high octane videos, sound & music mixed with inspiring presentations and panel discussions.  Audience Q&A was fascinating to provide an insight into the sentiment of each market.

 

Both in the lead up to the event and over the live 3 events, the Phoenix Team worked tirelessly to ensure the seamless delivery of the 3 events. Microsoft Teams Live provided a familiar platform for the audience and a challenge to our producers to provide a seamless experience with switching between live speakers, slides,  panels and pre-recorded video.

 

The GHD Team were delighted with the quality of production and professionalism the Phoenix team brought to the events, allowing them to focus on creating incredible content, while we took care of all the technical details and production of the event.
